Coordinating hotel room(s) for the GLC

Groups audience:

First off, just a huge thank you to our Regional Contacts!!

I definitely appreciate the invitation and opportunity to participate in
this year's GLC, and am grateful for all you guys do, all year round.

For the Regional Contacts and my fellow Community Leaders, I wanted to
offer taking the lead on coordinating hotel accommodations for anyone who
was also interested in staying at the conference venue, the Marines'
Memorial Club & Hotel.

I will be flying into San Francisco Thursday afternoon, and leaving Monday
morning, by way of Virgin Atlantic (already got my tix), so would plan on
staying in the hotel for four nights.

Reply to the list or to me personally, and I'll follow up by email to those
interested in figuring something out together, unless you've got other
plans. If you do reach out, let me know when you're planning on travelling
and if you're okay with doubling up on a bed with someone, as/if needed.

If you're not staying all four nights like I am, maybe coordinating
directly with someone who has the same travel plans might make more sense,
but I at least wanted to get the ball rolling!

I'm already booked with flights (Thurs - Mon, Southwest) and with room at
Hotel Beresford next door.

I am flying in Wednesday March 30th and current plans are to stay 4 nights
at the Hotel Beresford, checking out Sunday. I may extend that to Monday if
it seems more sane to do so. The room is single queen, so sharing is
probably not an option.

After GLC I am going to road trip along the coast, most likely destinations
are Oakland, Portland, Seattle. Primary goal is to look at what other
Burner artist communities are up to. Definitely want to check out TechShop
(SF), The Crucible, Portland Art Collective and any other established
communities you can recommend. If anyone is interested to tour SF/Oakland
with me while we're there, let me know!

I'm still working out my travel plans but I'll let you all know as soon as
I have them figured out. I'm so excited to be able to attend this year and
to spend time with all of you!

I will fly in on Wednesday or Thursday, and I'll stay a few days after the
GLC. I hope to have a meeting with some Burning Man Project staff about
the Theme Camp Coordinators Camp I'm proposing to have in 2016 (hopefully
located right next to everywhere) and I also will hold meetings for Camp
Contact at Burning Man where many of our campers are located.

I hope to go on a tour with Roman (and anyone else who is interested) of
some intentional communities in Oakland and the area that are burner based
in the days following the GLC.

I haven't decided on accommodations yet, I'm checking in with a few friends
to see what they're up to. Nexus, I may very well be interested in the
space you're looking at, I do like to stay close to the GLC for the times
that it is happening (Thurs, Fri & Saturday nights), then I'll stay with
friends in East Bay Sunday and beyond.

Looking forward to it!

Thanks for offering to coordinate rooms Nexus. I am definitely interested
in room sharing again at the conference hotel during the GLC. I don't mind
the tight group living quarters and it maximized convenience and
connections last year.

My flights aren't booked yet but I'm also planning on staying around the
Bay area for a few days on the front and back end to do some site visits,
meeting and exploring (including to intentional communities and burner-type
spaces as Darrell mentioned).

Wolf -- I will be staying in Oakland on the back end most likely and would
love to join you to check out some of those spots if it works well.

Hey friends! So, thanks to everyone who's replied here and personally about
the trip.

At the moment, I've got 4 (including myself) who are planning on staying at
the Conference Hotel. So I'm going to move forward with at least booking
one room.

As others' plans solidify, I would be happy to continue either coordinating
or helping facilitate booking other room(s) at the Marines' Memorial Club &
Hotel as needed.

I'm keeping track of everyone in this Google spreadsheet (for your eyes
only):

http://bit.ly/GLC2016DCDelegationTravelPlanning

I think I got everyone, but if not feel free to either message me or update
the spreadsheet directly.

Hope everyone's staying warm!!

Hey JR,

Thanks for organizing. How much are the rooms and how are you working it
out?

Thanks again,

So I am going to initially book a room for four nights to be split between
four people (because we were all comfortable sharing a bed with one other
person); and with the conference rate of $219 - $239, it would break down
to about that much per person.

Then depending on if we had enough people to get another room, it would be
contingent on on whether others were also planning on staying for four
nights or three and would book a second room accordingly, also taking into
account individuals' preference of sharing a bed or not.

I don't think anyone would expect someone to pay for a night they're not
staying in a room, so I would initially suggest to everyone sharing a room
that the cost be prorated for how long folks do stay in it. But, ultimately
it would be up to all those sharing a room to figure out how best they'd
like to take care of and split the costs as they are willing and able to.

So I suppose I'm saying that's a conversation that might have to happen on
a room to room basis, as well as who will take care of the initial charge
and how others would reimburse them. Did that answer your questions?

Also, it might go without saying, but if anyone just wants to make their
own plans with just one other person or by themselves at the the Marines'
Memorial Hotel, just keep me/the rest of us updated. Otherwise, go for it!

Just wanted to make sure my offer to help wasn't seen as anything but that,
striking that ever delicate balance between communal effort and radical
self-reliance! :-)

There are several airbnb's in the area available as well with entire homes
from $166 to $300.

Would folks be interested in sharing an airbnb? We could fit more people to
further share the cost.

Thought?

It's a viable option I'm willing to consider. Price and distance from the
venue are my prime factors.
If you find a place that would end up being notably less than the
$130/night I'm currently booked at, let me know.

At the moment, I've got 4 (including myself) who are planning on staying at the Conference Hotel. So I'm going to move forward with at least booking one room.
As others' plans solidify, I would be happy to continue either coordinating or helping facilitate booking other room(s) at the Marines' Memorial Club & Hotel as needed.
I'm keeping track of everyone in this Google spreadsheet (for your eyes only):

Hey Everyone!

I haven't received any glc2016.pathable.com sign-in info. Has anyone else?
I have to email Iris about something else and can ask her what's up if
everyone else is in the same boat.

Let me know!

Thank you!

As others' plans solidify, I would be happy to continue either coordinating or helping facilitate booking other room(s) at the Marines' Memorial Club & Hotel as needed.
I'm keeping track of everyone in this Google spreadsheet (for your eyes only):

I think I got everyone, but if not feel free to either message me or update the spreadsheet directly.
